# Fly Delta Virtual Standard Operating Procedures
Section I: Introduction
Welcome to Fly Delta Virtual. It is our mission to provide a place for pilots to grow and thrive in virtual flight simulation. We strive to provide a stable environment to bid a flight, fly the route, and log the flight into our system to give more purpose and enjoyment to flying. To that end, I feel we do an outstanding job with the help of our staff to provide you with a superb environment for success.
A Standard Operating Procedure is an important part of our vision and mission at Fly Delta Virtual. It serves as a roadmap to a better flight experience and a guide to our policies. I would like to thank each one of you for taking the time to read this document. If you do not understand something or think a topic needs to be edited, removed or added, please contact me, the Human Resources Department, or your Hub Manager. I hope you will enjoy the airline as much as we do.

Section II: Chain Of Command
All Pilots should first go to their AHM or HM with any issue or complaint and then it should be moved up the chain as necessary.
If a satisfactory answer cannot be gained from the first person in the Chain of Command, or if the first person in line is unavailable, or should your complaint be about that person, then you are permitted to escalate the issue to the next person.
For example, pilots shall address their issues to their AHM or HM, who then escalates to the:
- DPO for Pilot or PIREP issues or,
- VP-HR for Personnel Issues or,
- EM for Marketing or Events issues.
Notwithstanding the Chain of Command, all development inquiries, complaints, reports, or issues are to be directed to the DIT or a DEV.
Section III: Administrative Team
President (PRES) - The President serves as the face of and oversees the actions of all operations and members part of Fly Delta Virtual. The President is responsible for the successful accomplishment of all tasks beneficial to Fly Delta Virtual. The President will coordinate with all staff members, pilots, and partners to ensure the smooth and efficient operation of Fly Delta Virtual along with partnerships with external groups.

Vice President - Operations (VP-OPS) - The Vice President of Operations is responsible for implementing and seeing through the virtual airline strategic vision as set by the President. The VP-OPS is also responsible for working with the Administration and Executive teams regarding the functionality, and operation, of Fly Delta Virtual. He/she will coordinate with other staff members to arrange meetings, or to discuss a certain topic. This staff member has the authority to expel or suspend a pilot who is a member of the virtual airline with consultation with the VP-HR. VP-OPS will be available to address any concerns or questions a pilot may have. Extra duties may be delegated to the VP-OPS at the discretion of the President.

Vice President - Human Resources (VP-HR) - The Vice President of Human Resources will communicate and intervene with all pilots and any of the questions that they may ask, regarding the virtual airline. The VP-HR is responsible for accepting pilot registrations to Fly Delta Virtual, which includes ensuring that transfer hours are properly verified. See Section V (E). The VP-HR is also the primary disciplinary officer for Fly Delta Virtual, and as such can remove pilots from the virtual airline. Extra duties may be delegated to VP-HR at the discretion of the President and/or VP-OPS.

Vice President - Information Technology (VP-IT) - The Vice President of Information Technology is responsible for establishing the strategic direction of the virtual airline information systems and executing the technology goals as set by the President. He/she will communicate with members and staff for discussions, troubleshooting and assistance with IT topics.

Director of Information Technology (DIT) - The Director of Information Technology is responsible for overseeing the technical infrastructure of the virtual airline, leading the IT staff towards the accomplishment of IT operations. He/she will contribute to the development of systems, present solutions, and track and report the status of IT projects.

Section IV: Executive Team
Director of Pilot Operations (DPO) - The Director of Pilot Operations will coordinate with all hub managers to ensure the smooth and safe operation of the airline. The DPO is responsible for maintaining pilots' database records. This includes making sure pilots receive proper award badges and rankings earned. The DPO will be responsible for final approval of all questionable PIREPs and the needs of pilots. See Section V (E)(a). Extra duties may be delegated to the DPO at the discretion of the President, VP-OPS, and/or VP-HR.

DME is to advise and participate in decisions that may impact the ongoing reputation of the virtual airline and maintain relations with other communities such as VATSIM and other airlines for future event planning. The DME is primarily responsible for communications with a wide range of stakeholders, including Fly Delta Virtual staff, pilots, partners, and the virtual aviation community. This includes announcing events. The DME will utilize various channels of Fly Delta Virtual social media accounts (Facebook, Twitter, etc.). Extra duties may be delegated to the DME at the discretion of the President and/or VP-OPS.

Section V: Management Team
Pilot Manager (PM) - Responsible for overseeing the timely acceptance of PIREPs and escalation of PIREPs challenges to the DPO, the DPO may assign the PM other tasks as required, the PM will also help cover hubs in the event an HM steps down or goes on leave. Hub Manager Apprentices (HMA) will report to the EM and PM to assist with duties and communications to the FDV community.

Hub Operations Managers (HM/AHM) - Responsible for communicating with and assisting the pilots in their hub. HM’s and AHM’s will promote events, group flights, competitions, etc. to their respective hubs to keep pilots engaged. They will make sure pilots are active by engaging their hub communities through Discord. Hub operations staff will ensure any PIREP for review is processed within 48 hours. Section VI: Staff Requirements
Activity
- He/She must fly a minimum of two flights every 30 days. Members of the Development Team are exempt from this requirement.
- Discord Activity Policies: Must check into the Fly Delta Virtual server once to check with their pilot base once a week.
- Website/Discord/Email Activity Policy: Staff members must log onto the website, Discord, and their email account once a week.
- An exemption to inactivity is if a staff member files a Leave of Absence with the VP of Human Resources.
Assistance
- Must have the urge to help others with any questions and/or problems.
- Must have a positive attitude when on the website, when on VATSIM, and on social networks.
- Must set a good example to help pilots perform their best.
Staff Meetings
- A mandatory staff meeting will be held every month on the first Wednesday of the month. Additional Staff Meetings may be scheduled as needed. All staff members are required to be present unless excused by a member of the Administrative Staff.
- Pursuant to a vote of the Administration and Executive teams, a mandatory meeting may be scheduled outside of the regular schedule.
- Other staff meetings will not be mandatory but will be recommended to attend.
- In staff meetings, the staff members will discuss various topics and either approve or deny them depending on the topic(s).
Background
- Staff members at Fly Delta Virtual may not hold a staff position at any other virtual airline.
- The Administration Team and the DPO, with unanimous consensus, reserve the right to grant an exemption to this rule.
- Prospective staff members will be expected to have a clean record of all levels of flight simulation and be at least 18 years of age.
- Current staff members will verify that a prospective member has a solid reputation.
- Any discrepancies found while checking previous information about a pilot can result in the denial of a staff member's application for Fly Delta Virtual.
Vacancies
- In the event of a vacancy of any position within Fly Delta Virtual, the VP-HR is empowered to announce the specific position openings to the general membership of Fly Delta Virtual.
- In the event of a resignation or dismissal of a staff member, the VP-HR (and Administration Team) is empowered to announce that member’s removal or resignation.
- In the event of a vacancy in the Hub Operations team, the DPO, along with the VP-HR, will conduct interviews for the vacant position and present a recommendation to the administration team on whether the application should be approved, deferred, or rejected.
- For the hiring of AHM or HM are encouraged to be present and assist in conducting the interview.
- In the event of a vacancy in the Administration or Executive team, the VP-HR, along with at least one other member of the administration team, will conduct interviews for potential executive and administrative positions.
Section VII: Staff Inactivity Procedures
- LEVEL ONE (L1) - After failing to be active in FDV discord after fourteen (14) days, the staff member will be contacted by the Vice President of Human Resources or the Director of Pilot Operations.
- LEVEL TWO (L2) - After failing to be active in FDV discord after thirty (30) days, Human Resources will issue a formal warning and will be placed on probation until said staff member contacts the VP-HR and DPO, to explain their absence and resolution.
- LEVEL THREE (L3) - If a staff member fails to respond fourteen (14) days after the L2 formal warning, they will be subject to immediate removal from the Fly Delta Virtual Staff Team and the position will be filled by a qualified applicant.
- A member of the Administration team or the Director of Pilot Operations may authorize the VP of Human Resources to penalize departmental staff members for failure to attend staff meetings and/or failure to perform job responsibilities, at his/her discretion (suspension, warnings, removal, etc.).
Section VIII: Staff Leave of Absence

- Notify the DPO, VP-HR, and AHM/HM (if applicable) in #staff-chat in Discord.
- Staff Activity Policy waived for that period.
- Temporary Hub Staff may be assigned by and/or covered by the DPO at their discretion.
- Staff will retain their Hub Admin Access.

- Notify the DPO, VP-HR, and AHM/HM (if applicable) in #staff-chat in Discord AND by appropriate staff email.
- Staff Activity Policy waived for that period.
- Temporary Hub Staff may be assigned by and/or covered by the DPO at their discretion.
- Staff Hub Admin access may be turned off at the discretion of the DPO or VP-HR.
- Cannot guarantee re-assignment at the same hub or another hub and may be reassigned as an AHM (if no HM spots are available).

- Notify the DPO, VP-HR, and AHM/HM (if applicable) in #staff-chat in Discord AND by appropriate staff email.
- Removal from the Hub Operation Staff Team.
- Requires reapplying as a Hub Staff Member upon return.
- Approval of the application is at the discretion of the DPO and VP-HR.
- Cannot guarantee re-assignment at the same hub or another hub and may be reassigned as an AHM (if no HM spots are available).
- Will be considered Former Staff (on good terms).
Section IX: Membership & Enrollment
- Enrollment is free and open to all prospective pilots. To join Fly Delta Virtual, a pilot must provide the following at the time of registration:
- Provide valid pilot information.
- First & Last Name.
- Email Address.
- Country of Residence.
- Date of Birth.
Transfer VATSIM Hours
- Transfer hours may be added to the by request only by utilizing hours accumulated on VATSIM.
- Transfer requests must be done within 2 weeks (14 days) of joining FDV
- If you do not wish for transfer hours to be added, please add that preference to your pilot application.
How to transfer VATSIM Transfer Hours:
- Get the link from https://stats.vatsim.net of a flight flown under your VATSIM CID for us to review transfer hours.
- Reach out to your HM/AHM or DPO in your hub chat in Discord with your VATSIM link and the number of hours.
- VATSIM flight hours will be transferred upon acceptance to Fly Delta Virtual at a maximum value of 200 hours.
- Transfer requests must be done within 2 weeks (14 days) of joining FDV
Section X: Pilot Ranks / Fleet Access
Pilot Ranks
All pilots begin as a New Hire. After completing and receiving approval on their first PIREP, they advance to Junior First Officer. Rank progression is based solely on total accumulated FDV flight hours. Only actual logged flight time counts toward rank. The 75 credited hours used for pay calculations do not add toward rank advancement.
Unless the flight is CAT free (Airport of the Month, Flight of the Day, Group Flights, and select advertised Special Events), the pilot must fly an aircraft that is appropriate for their rank. Please consult the Career center for those lists. https://flydeltavirtual.com/crew/careers

Paycheck System
The FDV paycheck system uses a 75 credited hours per month guarantee. This credit is used only for pay calculations and does not count toward rank hour totals.
• Pilots receive guaranteed pay each month based on 75 credited hours at their rank’s hourly rate.
• Pilots who fly more than 75 actual hours in a month earn additional pay at the same hourly rate.
• This system mirrors real world Delta pilot contracts by rewarding higher activity with additional compensation.
• Again, only actual flown hours count toward rank advancement.
Fleet
- Non-Heavy Active Fleet.
- Defined as all non-heavy aircraft listed on the Delta website.
- Heavy Active Fleet.
- Defined as Heavy aircraft listed on the Delta website.
- Wheels Up Fleet.
- Defined as any aircraft Wheels Up utilizes in its fleet.
- Historical Non-Active Fleet.
- Defined as any aircraft that has flown in the past but is not currently employed as part of their current fleet.
- General Aviation Aircraft
- The only GA aircraft approved for use is the Cessna C172
- May only be flown twice per month
- The only GA aircraft approved for use is the Cessna C172
Section XI: Pilot Consequences
Pilot Inactivity Warnings
-
Pilots are required to complete (1) flight every (30) thirty days to remain active. After 120 days of inactivity, your account will be disabled. Pilots may contact Fly Delta Virtual at a later point in time to re-enable their account following the new registration guidelines for transfer hours. Otherwise, a request for a Leave of Absence (LOA) must be filed to avoid being marked as inactive and removed from the roster.

Pilot Activity warnings are automated. All pilots should monitor the email address they supplied in their application for these notifications unless a Leave of Absence is filed.

Newly accepted Pilots are required to file a PIREP within 30 days of application acceptance.
-
Failure to meet this requirement will result in removal from Fly Delta Virtual pilot list.
Leave of Absences (LOA)
-
A Leave of Absence is only to be submitted if you, the pilot, cannot file at least one PIREP in any given month.
-
Must be Between 30 and 90 days.
-
Not repeated more than twice per year.
-
After the LOA is over, you must file at least one PIREP within 14 days of returning, which MUST be accepted.

LOAs must be submitted on the FDV website.
Pilot Suspensions
- The Administration and the Director of Pilot Operations will be responsible for appropriately issuing any pilot in their hub a suspension if the pilot is in violation of any of the regulations found in Appendix B in Section XII.
Suspension rules
-
First Offense: Maximum 14-day suspension.
-
Second Offense: Maximum 30-day suspension.
-
Third Offense: Discretion of staff team.
-
Fourth Offense: Pilot Removal.
-
Depending on the severity of the situation, pilot suspension may be skipped, and replaced with pilot removal.
-
Appeals to suspensions may be addressed to the VP-HR.
-
During any suspension, you may face a temporary ban on the Crew Center, Discord, and/or any web addresses associated with Fly Delta Virtual.
Pilot Removal
-
When removed from the virtual airline, you will be told if you may rejoin or not, further in time.
-
If you rejoin, you will start with the lowest rank and will have zero hours.
Section XII: Flight Requirements
Pilot Activity Requirements
It is required that each pilot submits at least one (1) PIREP per month. A warning will be issued for inactivity through our automated system 30 Days, 60 Days, 90 Days.
A pilot may return and have all or some of the hours and rank restored.

In less than 6 months all hours will be restored.
-
For more than 6 months, half of the hours earned will be restored and rank demotion to what that new hour amount is.
All PIREPs must be submitted using an our approved ACARS platform, Black Box Virtual. If a pilot is unable to comply with this requirement, they may submit a manual PIREP through the Fly Delta Virtual website. If a pilot submits a manual PIREP in this way, they must provide a link from Volanta in the "proof URL" section of the PIREP, to prove the flight was flown and completed. Volanta is currently the ONLY approved manual PIREP proof of flight.
Our ACARS chartering system gives pilots the opportunity to fly to places that Delta and its SkyTeam partners do not have on their regular timetable. Pilots who choose to fly a charter flight/user-created flight must comply with relevant and/or applicable CAT restrictions that are listed in Section X.
Flight Approval Methods
Flights must be filed using one of two methods
- Black Box Virtual
- Blackbox must contain the whole flight log. If the log is incomplete then proof of flight is required for these flights as well.
- Manual PIREP - must have proof of flight link from Volanta. All others will be rejected.
Additional Information:
- Diversions will require proof of flight and a stated valid reason for the diversion.
- Proof of flight must be done by providing a link to the flight using one of the following methods: Flight Link from from Volanta, Elevatex, or similar public log that shows the flight statistics AND landing rate..
Flight Approval Criteria

Pireps requiring proof of flight that do not have a valid proof link attached, will be rejected stating they can be re-evaluated once proof is provided.
-
Pilots may use up to 4x Simulation Rate when leveling at cruise, regardless of flight time.
-
A 4x simulation rate will have 0.5 of total flight time deducted.
-
When flying on VATSIM, pilots must receive permission from ATC to use an enhanced simulation rate.
-
Pilots who go above 4x Simulation Rate may have PIREPs rejected depending on the duration of the Simulation Rate.
-
Rejection will be at the discretion of Hub Managers.
-
The landing rate must not exceed -600fpm.
-
Routing must be valid - direct routing is not permitted (Unless assigned by ATC).
Flight Errors
-
Stalling is a rejection.
-
Landing with gear up is a rejection.
-
Over speeding, and exceeding 250kts while under 10,000ft are considered violations and may cause your PIREP to be rejected depending on the duration of each action.
-
May be approved or rejected at the discretion of the Hub Manager or Director of Pilot Operations.
Fuel Guidelines
-
At the time of landing, the remaining fuel on board must be greater than 2000 lbs. (for smaller aircraft, at least 30min reserve fuel).
-
Reserve fuel should be added prior to departure in case of emergency, holding, or other unforeseen circumstances.
-
In-flight refueling is NOT permitted under any circumstances.
Hub Staff Discretion
-
Staff may approve or reject a filed PIREP at their discretion. Should a PIREP be rejected, a reason will always be provided. The Director of Pilot Operations or any other member of the executive/administrative teams may overrule a rejection if they find the rejection unnecessary.

No staff member is to accept his/her own PIREP.
Diversion
- If the pilot deems flight conditions unsafe or if there is an emergency. A pilot may divert to another airport. Include reasoning for diverting in the PIREP comments section.
Slew Mode
- Staff should reject flights that show slew mode toggled on for greater than 3 seconds after completion of pushback procedures.
Double Dipping

Accruing hours for another VA, while using the same flight to accrue hours for FDV is strictly prohibited. Violators will have the offending PIREPS rejected and face possible disciplinary action, to be determined by the Director of Pilot Operations, the Vice President of Human Resources, or another member of the administrative team.

Example: Tracking your flight while using two or more ACARS systems or filing two or more manual PIREPs to Fly Delta Virtual and other Virtual Airlines.
Livery Restrictions
-
PIREPs are restricted to Delta or SkyTeam member liveries.
-
Pilots are permitted to fly with liveries matching their flight if the flight is an active Code Share or SkyTeam Partner.
-
Pilots who file a PIREP not in accordance with section 10(a), risk the potential of their PIREP being rejected at the discretion of their hub manager.
-
The final authority regarding PIREPs rejected due to non-compliance with Livery Restrictions shall rest with the DPO.
SkyTeam Partners
- Aerolineas Argentina’s, Aero Mexico, Air Europa, Air France, China Airlines, China Eastern, Delta Air Lines, Garuda Indonesia, Kenya Airways, KLM, Korean Air, Middle East Airlines, Saudia, SAS, TAROM, Vietnam Airlines, Virgin Atlantic, Xiamen Air.
Codeshares
- Endeavor, Republic Airways, SkyWest, LATAM, WestJet.
Aircraft Restrictions

For CAT free flights the pilot may fly any aircraft in the Delta or SkyTeam partner fleet.
Section XIII: Events and Group Flights
Group Flights
-
Group flights are flights that are always hosted as CAT-Free and Double Hours unless otherwise stated. Flights under this category will always have a set departure time and are usually hosted for a duration of four hours after the posted departure time to provide pilots with ample time to complete the necessary legs. During hosted group flights, it is imperative that pilots do not push back earlier than fifteen (15) minutes prior to the wheels-up time. Pilots are NOT required to connect to the VATSIM network for the entire duration of the flight, but it is highly encouraged that pilots do so.

Some group flights will be live streamed on the official Fly Delta Virtual Twitch channel (more information below). Pilots who join the Group Flights voice channel during hosted group flights will be required to always follow the written Discord rules. In addition, participants automatically consent to voice recordings and usage of clips featuring their voices at any time.

During certain group flights, the “Wheel of Fly Delta Virtual” may be used to process rewards for participating pilots. Persons interested in receiving listed rewards MUST be present in the Group Flights voice channel.
Events
Events are always CAT-Free and Double Hours unless otherwise stated. Like group flights, presence in the Group Flight's voice channel is not required unless there are pending rewards to be issued, such as in a case where the Wheel of FDV is explicitly mentioned in the event posting. We do, however, encourage all pilots to join the Group Flights Voice Channel as announcements might be made on the voice channel that are important to the event process. Events will always have a set departure time for those in the Group Flights voice channel, except Events that are "All Day", for those Events, pilots have until Midnight Eastern to get their PIREPs in before the winner announcement is made. Note: Any PIREP submitted after Midnight Eastern Time will NOT be accepted.
Bonus Flights
Bonus Flights are flights that are also CAT FREE and DOUBLE HOURS. The bonus flights should be sent out in an announcement to both the pilots on their crew dashboard along with Discord. Some of the bonus flights do not have a departure or arrival. In this case, pilots should assume that any flight they do counts for the CAT FREE and DOUBLE HOURS. To add on those types of Bonus Flights, Pilots have until 11:59 PM EST to do those flights, anything submitted after that time frame will not be accepted and may be subject to rejection by your Hub Manager/Assistant Hub Manager per PIREP Approval Guidelines.
Flight of the Day
The Flight of the Day is CAT-Free and Double Hours for the entire duration of the listed day. The Flight of the Day will always be visible on the landing page of the Crew Dashboard on the Fly Delta Virtual website. Pilots who fly the exact listed leg within the respective day will automatically be granted double hours and will have the freedoms prescribed under the definition of CAT-Free for the listed leg.
Screenshot Contest
The Screenshot Contest is a monthly graphical contest where pilots are encouraged to submit screenshots to be voted on by fellow pilots within FDV. Winners will be announced at the end of each calendar month and will have their screenshots featured throughout the duration of the following calendar month in the following places:
- The FDV Discord Banner
- The FDV Facebook Banner
- The FDV Monthly Newsletter
In addition, winners will also receive an award on their FDV profile and will be recognized on the following month’s announcement.
In each posting, the DE or EM will explicitly state the theme for each calendar month. Pilots MUST abide by the guidelines and themes listed on each posting if they want to receive credit for their screenshots. FDV reserves the right to remove any screenshots that do not follow the listed guidelines at any time, with or without notice.
Tours
- Persons interested in submitting tours to the FDV webpage can do so by reaching out to the DE or EM with the following information:
- Tour legs with routing and estimated durations
- Tour name
- Tours MUST be round trip unless exempted by the DE or EM.
Twitch Channel: Information
The official Fly Delta Virtual Twitch channel is used during most group flights and events as a means of marketing and record-keeping. Persons interested in hosting group flights through the platform and live streaming using the guidelines below and as further dictated by the DE or EM may do so provided they acknowledge the following rules while live streaming.
All FDV Discord rules apply
- No promotion WHATSOEVER of other channels or social media platforms.
- Any revenue made (Subscriptions, Bits, Stream labs Donations, etc.) is the sole property of Fly Delta Virtual. Persons who stream on the Twitch page cannot demand compensation for any revenue made at any time before, during, or after the livestream.
- Sensitive channel information including the stream key, alert box link, or any other potentially sensitive piece of information regarding the Twitch channel may NOT be shared at any time.
- Any music used throughout the duration of the live stream MUST be copyright-free.
- Users operating the Twitch live stream MUST be familiar with and always follow the Twitch TOS (Terms of Service).
- Staff members MUST be familiar with and follow Twitch TOS (Terms of Service) when streaming.
- Staff members interested in streaming to the official Fly Delta Virtual Twitch may contact the DE via Discord for further setup instructions and guidelines.
Twitch Channel: Pilot Conduct
When in the Group Flights voice channel during a live-streamed group flight, pilots MUST follow always, the guidelines below:

- Professionalism must be always maintained. All pilots are representatives of the VA and should always be mindful of this.
- Pilots MUST follow the VATSIM CoC (Code of Conduct) while on stream.
- Failure to follow the above guidelines may result in disciplinary action as directed by the VP-HR.
